Summary of Key Points
- What we collect: name, contact details, booking and attendance history, payment information, and — where relevant to your safety in class — health or injury information you choose to share with us.
- Do we collect information from third parties? Yes. If you book a class through ClassPass, we receive your name and booking details from ClassPass in order to honour and manage that booking.
- How we use it: to run your bookings and membership, take payment, communicate with you (including by WhatsApp), keep you safe in class, and — where you’ve agreed to hear from us — send you offers and updates.
- Who we share it with: the service providers who help us run the studio — Momence (booking and membership platform), ClassPass (if you book through them), Stripe, Square, and Bizum (payment processing), WhatsApp/Meta (messaging), and Google Analytics/Maps (website analytics and location). Full detail below.
- Your rights: you can access, correct, or delete your data, and opt out of marketing (by WhatsApp, email, or however you signed up) at any time.
- Supervisory authority: if you’re unhappy with how we’ve handled your data, you can complain to the Spanish data protection authority, the AEPD (Agencia Española de Protección de Datos).

1. What Information Do We Collect?
Personal information you give us directly
- Contact details: name, email address, phone/WhatsApp number, billing address
- Booking and membership information: the classes and packs you book, your membership type, credits remaining, freeze/pause status, and attendance history
- Payment information: processed by our payment providers (Stripe, Square, Bizum) — we do not store full card numbers ourselves
- Your stay in Valencia: whether you live locally, are staying mid-term, or are visiting, which you may be asked at checkout or on our new client form — this helps us tailor how we follow up with you and is never used to exclude anyone from a service
- How you heard about us and what brings you in: collected on our new client intake form, used only to understand our own marketing and to personalise your welcome
- Language preference: English or Spanish, so we can communicate with you in the right language
Sensitive information: health and injury data
Where relevant to keeping you safe in class, we may ask you to share health, injury, or physical condition information (for example, on an intake or waiver form). This is only ever collected with your explicit, separate consent — a general visit to our website or studio does not imply consent to share this category of data. You can decline to share it, though this may limit our ability to adapt a class safely for you. We do not use this information for any purpose beyond your safety and class suitability, and we do not share it with third parties except where necessary to protect your safety (for example, in a medical emergency).
Information we receive from third parties
Unlike a purely direct-to-consumer business, we do receive some information from booking platforms you choose to use:
- ClassPass: if you book a class with us through ClassPass, ClassPass shares your name and booking/attendance details with us so we can honour your reservation and run our class rosters accurately.
Information automatically collected
When you visit our website, we automatically collect technical information such as your IP address, browser and device type, general location, and how you use the site. This is used for security, troubleshooting, and understanding how our website is used — it does not by itself identify you personally.
2. How Do We Process Your Information?
We process your information to:
- Provide our services — take your booking, manage your membership or pack, process payment, and communicate about your classes (including schedule changes)
- Communicate with you — respond to enquiries by WhatsApp, email, or in person, and send service messages (e.g. booking confirmations, freeze/unfreeze confirmations)
- Send marketing and promotional communications — where you’ve agreed to hear from us (for example, by signing up on our website, or by not opting out as an existing customer), we may send offers, schedule updates, or reactivation messages by WhatsApp or email. You can opt out at any time — see Section 10.
- Keep you safe — use health/injury information you’ve shared to adapt classes appropriately, and for general studio safety and incident prevention
- Improve our services — understand how our website and booking flow are used, and improve them
- Comply with the law — meet our tax, accounting, and other legal obligations as a business operating in Spain
3. What Legal Bases Do We Rely On?
Under the GDPR, we rely on the following legal bases:
- Contract: to provide the class, membership, or pack you’ve booked and paid for
- Consent: for marketing communications, and for any processing of health/injury data
- Legitimate interests: for basic website analytics, fraud prevention, and maintaining our records of active and former customers, balanced against your rights
- Legal obligation: for tax, accounting, and other requirements under Spanish law
You can withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.
4. When and With Whom Do We Share Your Information?
We share personal information only with the service providers who help us run the studio, and only as needed for them to do that work:
| Provider | What they do | What they receive |
|---|---|---|
| Momence | Booking, membership, and class management platform | Name, contact details, booking and membership data |
| ClassPass | Third-party class marketplace (if you book through them) | Booking confirmation and attendance data |
| Stripe / Square / Bizum | Payment processing | Payment details necessary to process your transaction |
| WhatsApp Business (Meta) | Messaging and customer communication | Your phone number and message content |
| Google Analytics / Google Maps | Website analytics and location/directions | Technical browsing data; approximate location if you use map features |
We do not sell your personal information. We may also share information if required by law, to protect someone’s safety, or in connection with a sale or transfer of the business.
5. International Data Transfers
Some of our service providers (including Momence, Stripe, WhatsApp/Meta, and Google) may process data outside the European Economic Area, including in the United States. Where this happens, these providers maintain appropriate safeguards, such as the EU Standard Contractual Clauses, to protect your information to a standard consistent with EU data protection law.
6. Do We Use Cookies and Other Tracking Technologies?
Yes. We use cookies for essential site functions, and — only with your consent, managed through the cookie banner on our website — for analytics and marketing purposes. You can change your cookie preferences at any time using the “Manage Consent” option on our site.
7. How Long Do We Keep Your Information?
We keep your information for as long as you have an active or paused/frozen membership with us, and for a reasonable period afterwards to meet our legal, tax, and accounting obligations. If you ask us to delete your data and we have no ongoing legal reason to keep it, we will do so or anonymise it.
8. How Do We Keep Your Information Safe?
We use reasonable technical and organisational measures to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security, but we take this responsibility seriously given the personal — and in some cases health-related — nature of the information you share with us.
9. Do We Collect Information From Minors?
Our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe we’ve inadvertently collected data from a minor, please contact us and we will delete it.
10. What Are Your Privacy Rights?
Under the GDPR, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Request deletion of your information
- Restrict or object to certain processing
- Data portability
- Withdraw consent at any time
To opt out of marketing: reply “STOP” to any WhatsApp marketing message, unsubscribe via the link in any marketing email, or simply message us directly. We will still send you essential service messages (like booking confirmations) related to an active booking or membership.
To exercise any other right, contact us at [team@thereform.studio].
If you believe we have not handled your data lawfully, you have the right to complain to the Spanish data protection authority, the Agencia Española de Protección de Datos (AEPD) — www.aepd.es.
11. Do We Make Updates to This Notice?
Yes. We’ll update the date at the top of this page whenever we make changes, and let you know directly if a change is material.
